Employees today deal with a large number of different documents: original paper documents such as letters or contracts, PDFs, and other electronic documents such as files and emails. They are copied, printed, forwarded, distributed and stored in different locations or systems. In most administrative processes, several organizational units are involved, each of which carries out " individual" filing for a process. Managing a file is becoming more and more time-consuming, documents are multiple and so is the associated data, and searching for important information is becoming more and more difficult, leading to inefficient workflows and overworked employees.
The TU Braunschweig will introduce a document management system in order to be able to use documents regardless of location in the future and to avoid redundant document storage. Findability will be significantly improved and mobile working will be possible without restrictions, without having to transport mountains of paper files back and forth. In the context of administrative processes, digital audit-proof storage is made possible, which opens up further digitization options. Ultimately, the processes around a document become simpler and offer all those involved more transparency, fast processes and modern working.
