Finale - Implementation of the new student life cycle management system HISinOne
The introduction of the student life cycle management system HISinOne is entering its final phase. Between 2018 and 2021, we successfully launched the Application & Admission and Student Management modules. We optimized processes and processing was streamlined. Hence, the service for students could be improved significantly as reported by Kai Brunzel, Head Enrollment Office.
We are entering the final phase of completing the renewal of the student life cycle management system HISinOne by implementing the last module for course, event and examination management. This module affects almost all organizational units of the TU Braunschweig and fundamentally influences the organizational processes and the administrative activities in the named topics. This last piece of the puzzle completes the common digital work and information platform, TUconnect, for students, teachers and administrative staff with regard to a large number of processes.
During the past years colleagues from the faculties and the Gauss IT Centre worked close together to harmonize processes, clean data, coordinate responsibilities to fit the new processes and much more. The high level of commitment of each team member in all the organizational units concerned has contributed significantly to the success. Despite various setbacks and delays, the commitment of everyone involved has enabled the project to move forward. Changes were met with a positive and benevolent attitude and together we found good solutions to emerging problems.
What do the coming months look like?
We are currently mapping examination regulations, checking migrated content, creating new content, reviewing processes and training employees. At the same time, last remaining errors are corrected and optimizations are being implemented. The migration of the performance data from the old system to HISinOne is continuously practiced, in order to prepare the execution of the final task of the go-live process in November in the best possible way.
However, it should be mentioned that despite intensive examination of the entire system and the millions of data until the very end, there is still the possibility that unrecognized issues will arise and the implementation strategy will have to be adjusted. We aim to reduce the associated risks to an absolute minimum by thorough preparation, but we cannot completely rule them out.
Furthermore, it has been shown by experience, that a complex project like the one described require follow up work after the go-live.
The close collaboration between the administrators and the IT experts, as has already taken place over the past few years, forms a solid, goal-oriented basis for this team effort, which will carry us until the end of the project. Throughout the entire project, the team has stayed focused on the final goal to launch HISinOne as a whole. We are hopeful and motivated to cross the finish line this year.
